Microsoft To Doisasimple and intelligentto-do listthathelps youmanageall your tasks in one place. With To Do's integration with Outlook, you can use My Dayto see your upcoming calendar events and tasks anywhere in Outlook, including Mail, Calendar, and People. If you're using classic (or legacy) Outlook, you've got the option to use To Do, or classic Tasks.

To Do uses smart lists that make it easy to track tasks and organize your day. With To Do you can quickly organize your tasks by adding them to My Day, marking them as important, or adding them to new lists that you create.

Open the To Do app

On the left margin of the Outlook window, select theTo Do Create tasks with To Do in Outlook (1)icon, which opens the Taskspane. You can select different lists, or create a New list here.

Create, edit, delete and restore tasks

Create a task

You can create a task fromtheAdd a taskinput field. Select the field, type the task's title, and press Return or Enter. If you add a task to a smart list, the task will be saved in Tasks and linked to the list you were in when you created it.

Edit a task

To rename a task, select the task to open its detail view. Oncein the detail view, you canclick or tap the task's title. Acursor willappear in the task title field andyou'll be able to rename or edit the title.

Delete a task

To delete a task, select the trash can icon in the bottom right corner of the task’s detail view.

Restore a deleted task

Since your tasks are stored onExchangeOnlineand are also visible in Outlook Tasks,you can recover accidentally deleted tasksinOutlook:

  1. From your Outlook folder list under Mail,select Deleted Items.

  2. Locatethe deleted task, select and hold (or right-click), and then select Restore.

The deleted task willthen reappear in its correct list.

Use My Day in Outlook

With To Do you can quickly organize your tasks by adding them to My Day, marking them as important, or adding them to new lists that you create.

Make the To Do app your preferred tasks management experience

You can specify your preferred experience for managing tasks in Outlook. There are a few different ways to configure this option.

  • On the teaching callout, selectTry it:

  • InTasks, selectTry it on the yellow bar.

  • Navigate to File > Options > Tasks, then selectOpen tasks in the To Do app. You can switch back to Outlook tasks at any time by unchecking the setting.

How it works

When you select the option to open tasks in To Do, the following changes are made:

  • The tasks icon (Create tasks with To Do in Outlook (11)) is unpinned from the navigation bar (on the left margin of the Outlook window) and moved under Create tasks with To Do in Outlook (12)More apps on the navigation bar. The To Do app icon remains pinned and visible.

  • When you select New Items > Create tasks with To Do in Outlook (13)Task, it opens the To Do app instead of the classic Outlook Tasks app.

When you Open a task from the To Do bar, the Reminders window, or the Daily task list on the Calendar, it opens the task in the To Do app.

View your tasks and calendar in Outlook

Tasks are displayed in three locations in Outlook— in the To-Do Bar, in Tasks, and in the Daily Task List in Calendar. If you subscribe to a SharePoint task list, any task assigned to you from this list also appears in all three locations.

  1. On the navigation bar, click Tasks.

  2. Click a task to view it in the Reading Pane, or double-click it to open it in a new window.

    Another way to see tasks, including flagged to-do items, is the Tasks peek.

    • Point to Tasks on the Navigation Bar.

    The Tasks peek pops up. To keep the Tasks peek in view, pin it by clicking Create tasks with To Do in Outlook (19).
